Position Overview
Handle Service cases, from phone calls / e-mails to invoicing going through planning and customer order management.
Support Service Managers in all necessary Service administrative tasks linked to day-to-day activities.

Your Tasks
Answer customers’ request (phone, e-mail) with the support of the Service Managers.
Generate, communicate and explain quotes to customers.
Plan FSEs accordingly and escalate to service Managers if prioritization needed.
Communicate Planning to FSE.
Escalate to Leuven/Koblenz for support (resources, competences, technical support, and training, shipping …).
Proactively inform customers about the on-going Service activities (visits, shipments, questions…).
Document customers’ complaints so the Service Managers can deal with it accordingly.
Manage quotes, CO and WO using IFS; and ensure the backlog is under control with the Service Managers.
Manage parts inventory admin tasks in IFS and facilitate custom’s clearance and shipping activities.
Act as a back-up for the Office Manager for the following topics:
o Employees’ administration (payroll, holidays, documents…),
o Pre book keeping and credit control,
o Office activities related to taxes, payments, liaison with the chamber of commerce…

Your Profile
Education: Office administration or equal
Fluent in English (verbal and in writing)
MS-software
ERP skills
Good level of coordination and organization skills
Team player
Reliable
Empathy
Open minded
Flexible
Ability to handle multiple tasks
